210 Solutions designed a Q-SYS-centered modernization for Walton EMC’s main boardroom, replacing the projector workflow with dual commercial displays, native Microsoft Teams Room operation, networked video, room-wide voice capture, and a consistent touchscreen interface.

The environment

Walton EMC is a customer-owned electric cooperative serving communities across northeast Georgia. Its main boardroom at the Monroe headquarters supports leadership meetings, presentations, and hybrid collaboration where clear communication and dependable operation matter.

The existing projector-based environment was ready for a more capable, easier-to-operate platform. The new design centers the room on Q-SYS and a certified Microsoft Teams Room system so display, audio, cameras, content sources, and call controls work through one coordinated interface.

The challenge

A boardroom has to support more than one meeting style. In-room presentations, native video calls, remote participants, guest laptops, a rack-mounted PC, Apple TV, and cable content all need to work without forcing users to understand the signal path behind the room.

The redesign also has to improve sightlines and voice coverage while reusing the existing equipment rack where practical. The result must feel simple at the table even though the system includes multiple displays, cameras, audio paths, USB connections, and networked video endpoints.

The constraints

The design must coordinate a large-format 110-inch primary display with a secondary 86-inch display while accounting for final room layout and sightlines. Existing rack infrastructure will be reused where practical to reduce disruption.

The client provides the Microsoft Teams Room Pro license and electrical power at the display locations. Final equipment placement and installation details remain subject to field verification.

The approach

Design the system around the people who use it.

210 Solutions designed the room around a Q-SYS Core processor that unifies video routing, audio processing, camera control, source selection, and the user interface. A certified Microsoft Teams Room device provides the native meeting experience, while Q-SYS presents the room controls through two 10-inch touchscreens.

The control philosophy is straightforward: users can walk in, select the scheduled meeting, and join with a single tap. Additional sources remain available without turning routine meetings into a technical exercise.

Scope

The planned boardroom scope includes:

  • One 110-inch commercial 4K primary display replacing the existing projector system
  • One 86-inch commercial 4K secondary display
  • A Q-SYS Core 8 Flex unified audio processor and control engine
  • Q-SYS network video endpoints and three HDMI wallplate encoders
  • Two Q-SYS 12x PTZ network cameras
  • Two 10.1-inch Q-SYS touchscreens for room and administrator control
  • Two Q-SYS USB bridge endpoints for conferencing connectivity
  • A certified Yealink Microsoft Teams Room system
  • One Sennheiser TeamConnect Ceiling 2 microphone array
  • Six in-ceiling speakers with dedicated amplification
  • A managed PoE++ AV network switch
  • Two table HDMI inputs and USB connectivity on both sides of the conference table
  • Integration for Apple TV, cable box, rack-mounted PC, and the Teams Room system
  • Remote management, power conditioning, battery backup, programming, testing, training, and support

Execution

The system will be pre-programmed and assembled before installation to reduce time in the room. On site, the primary and secondary displays will be mounted, the Q-SYS audio and video endpoints integrated with the existing rack, and the ceiling microphone, cameras, speakers, touchscreens, and table connections commissioned as one system.

Programming will create a consistent experience across meeting platforms and local presentation sources. Final provisioning includes camera configuration, audio tuning, echo cancellation, source verification, call testing, user handoff, and system documentation.

The outcome

Technology that supports the operation.

Once installed and commissioned, the boardroom will give Walton EMC a large, high-visibility presentation environment with native Microsoft Teams operation and support for Zoom and Webex meetings. Users will be able to join scheduled meetings from the room touchscreen while Q-SYS manages the technology behind the experience.

The dual-display layout, two PTZ cameras, room-wide ceiling microphone coverage, evenly distributed loudspeakers, and flexible table connectivity are designed to make both in-room and remote participants easier to see and hear. Remote support and managed power provide a practical path for ongoing system care.
